Booking Terms & Conditions

I want to make sure everything is clear and fair before you book a workshop or tour with me. By making a booking, you confirm that you’ve read and agreed to these terms. If anything is unclear, just ask, I’m happy to help.

General Disclaimer

Chasing Light Tours Ltd is all about giving photographers of all levels, from beginners to experienced shooters, a great experience. My workshops and tours are designed with photography at the heart of them, focusing on helping you improve your skills while capturing incredible locations.

Booking & Payment Terms

To secure your place on a workshop or tour, you can either pay a deposit or the full amount. Once you’ve booked, you’re committing to pay the full balance 60 days before the start date. If you decide not to pay the remaining balance and don’t let me know, you’ll still be responsible for the full amount.

Legally, you have a 14-day cooling-off period after booking, during which you can cancel and get a full refund, including your deposit. After that, the deposit becomes non-refundable, as it helps cover upfront costs like accommodation, transport and admin.

Cancellation & Refund Policy

Life happens, and I get that plans can change. If you need to cancel, please email me as soon as possible so I can try to offer your spot to someone else. Refunds are based on when you cancel.

If You Need to Cancel:

  • More than 60 days before the workshop or tour – Your deposit is non-refundable, but I’ll refund the balance.
  • Within 60 days of the workshop or tour – Both the deposit and balance are non-refundable.
  • If I can rebook your spot before the workshop or tour starts, I’ll refund your balance minus the deposit.
  • No-shows without prior notice – Unfortunately, I can’t offer a refund or move you to another workshop or tour.

If I Have to Cancel:

While it’s rare, if a workshop or tour doesn’t have enough participants, I may need to cancel it. If that happens, I’ll let you know at least 30 days in advance, and you can either:

  1. Move your booking to a future workshop or tour.
  2. Get a full refund, including your deposit.

Additionally, I reserve the right to cancel a participant’s place on a workshop or tour if I deem it necessary. In such cases, a full refund, including your deposit, will be provided, but I cannot be held responsible for any additional costs incurred as a result of the cancellation. This is why travel insurance is essential to help cover any unexpected expenses.

Refunds & Weather-Related Issues:

  • I can’t refund accommodation, travel or other costs you’ve booked separately if a workshop or tour is cancelled.
  • I can’t offer refunds due to bad weather, we’ll work with what we’ve got and make the most of the conditions.
  • Any refunds will be processed via the original payment method within 30 days of cancellation.

Travel insurance is mandatory.

Health & Safety & Liability

Your safety is my priority, and I’ll always act in your best interests. However, you are responsible for your own well-being during the workshop or tour.

Chasing Light Tours Ltd is not liable for any loss, damage or injury, including:

  • Loss or damage to camera gear, personal belongings or valuables.
  • Accidents, illness, injury or any issues related to fitness, punctuality or negligence.

Workshops or tours often take place in remote locations, sometimes at night, where facilities like toilets, food and medical services may not be readily available. By booking, you acknowledge and accept any potential risks and responsibilities associated with these conditions.

Insurance

Accidents, delays and cancellations can happen, so comprehensive travel insurance is required for all participants. Your policy must cover:

  • Trip cancellation/interruption – in case of unexpected changes before or during the workshop or tour.
  • Emergency medical and illness coverage – to cover any medical expenses while travelling.
  • Rescue coverage – in case evacuation or emergency assistance is needed.

I will ask for proof of insurance before the workshop or tour begins.

Please ensure your policy also covers any activities you’ll be participating in such as hiking. Some activities may require specific insurance, and it is your responsibility to check this with your provider.

Weather and other unforeseen circumstances can sometimes cause travel delays, particularly in remote locations. Any costs incurred due to travel disruptions, such as extra accommodation or flight changes, are the participant’s responsibility. Make sure your trip cancellation/interruption insurance includes coverage for this possibility.

I reserve the right to refuse participation if a guest does not have the required insurance. Chasing Light Tours Ltd accepts no responsibility for loss, damage to personal belongings, or liability for personal injury or death.

Weather Policy

Since I can’t control the weather, as much as I wish I could, we’ll stick to the plan as long as it’s safe to do so. If conditions aren’t ideal, we may need to adjust the itinerary, but rest assured, I’ll always do my best to ensure you have a valuable experience. By booking, you acknowledge that refunds are not offered due to bad weather.
